# Best Business Email Hosting

Business email hosting puts your team's mail on a domain you own, from a provider whose only job is email. There are two ways to pay for it: a flat fee that covers every mailbox (MXroute $59/yr, Migadu $19/yr, Faivelo $5/mo billed yearly) or a per-user rate ($1 to $7 per user per month) that may or may not include a full office suite. This roundup compares all 13 providers we track on the price you keep paying, the plan you actually get, and deliverability fundamentals. Prices verified September 2026.

For email on your own domain without a full office suite, MXroute ($59/yr flat, unlimited domains and mailboxes) is our default recommendation in 2026. Migadu's $19/yr Micro plan is the cheapest credible entry point (mind its 20-outgoing-messages/day cap), and Fastmail ($5/user/mo Standard — its cheapest tier with custom domains) is the polished middle ground. Faivelo is the new option worth knowing about: $5/mo billed yearly for unlimited mailboxes, with calendar, an API, an MCP server and transactional and campaign sending built in from $10/mo — priced level with MXroute rather than under it, and new enough to carry no uptime SLA or independent track record. Need shared docs and video calls? Google Workspace and Microsoft 365 both start at $7/user/mo.

“Team of 5” is the ongoing yearly cost for five mailboxes at the renewal price, not the intro price. Flat-fee plans cover five mailboxes for the plan price; per-user plans are 5 × 12 × the per-user monthly rate. Migadu Micro’s 20-outbound-messages/day cap applies to the whole account, and Faivelo’s flat price covers unlimited mailboxes, so its five-mailbox figure is simply the plan price. Mailboxes bundled with hosting plans (IONOS, GoDaddy, Spaceship) are left out on purpose: they end when the hosting plan does.

A genuinely well-specified business plan attached to the steepest renewal structure we track. CloudHosting Start bundles 100 GB, unlimited sites and mailboxes, PostgreSQL and MongoDB, a CDN and a 99.9% SLA — but the $112.50 first year becomes $18.75/mo, the highest standard shared rate on this site, and a .com goes from $10 to $60/yr with WHOIS privacy charged on top. ## The setup checklist that makes business email look professional

Whichever provider you pick, three things decide whether your mail arrives and reads as professional: authentication records published before the first send, role addresses that outlive the person who owned them, and keeping the registrar, the email host and the web host as three separate decisions.

**Publish SPF, DKIM and DMARC before you send the first message.** Every provider on this page documents the exact records and it takes about fifteen minutes. Start DMARC at `p=none` and tighten it once the reports show only your legitimate mail. This is also the honest answer to deliverability marketing: placement is decided by your DNS and your sending behaviour, not by a provider’s brand. If you own the domain already and want the DNS side in detail, start with email hosting for custom domains (https://digitalhosting.com/articles/best-email-hosting-custom-domains).

**Create role addresses as aliases or shared mailboxes.** hello@ and billing@ should not be a personal address that leaves when an employee does. Set a plain-text-friendly signature with the company name, a role and a phone number, and skip the image banners that trip spam filters. Flat-fee hosts make this free: MXroute (https://digitalhosting.com/providers/mxroute) from $59/yr (Small — 10 GB, unlimited domains & mailboxes), renews at same price at renewal and Migadu (https://digitalhosting.com/providers/migadu) from $19/yr (Micro — 5 GB, unlimited domains/addresses), renews at same price at renewal charge nothing per mailbox, while a per-seat plan bills every role address as a seat unless you make it an alias.

**Keep the registrar, the email host and the web host separate.** Mailboxes bundled with a hosting plan end when that plan does, which is the single most expensive mistake in this category — it turns a hosting decision into a mail migration. A standalone email host survives every other change you make. For a team weighing seats against a flat fee, the five-person, three-year math (https://digitalhosting.com/articles/best-email-hosting-small-business) is worked out provider by provider.

## Frequently asked questions

What is business email hosting?

A dedicated mail service for addresses on a domain you own (you@yourcompany.com), separate from your web hosting and from free webmail. It gives you proper SPF, DKIM and DMARC authentication, real storage and support, and the freedom to switch providers without changing addresses. The 13 providers on this page range from $19/yr flat to $7 per user per month.

How much does business email hosting cost?

Two models. Flat fee: Migadu Micro $19/yr (5 GB pooled, 20 outbound messages/day) or MXroute Small $59/yr (10 GB, unlimited domains and mailboxes). Per user: Zoho Mail Lite $1, Fastmail Standard $5, Proton Mail Essentials $6.99, and Google Workspace or Microsoft 365 at $7 per user per month, all on annual terms. For a five-mailbox team that is roughly $19 to $420 a year — the price table above works it out per provider. Verified September 2026.

Which email host has unlimited mailboxes?

Three of the flat-fee hosts here. MXroute Small ($59/yr) and Migadu ($19/yr Micro) both put unlimited mailboxes and unlimited domains on one account, billing you on storage and send volume instead of seats. Faivelo does the same from $5/mo billed yearly, though its entry tier caps you at three domains. Unlimited-mailbox plans are the cheapest way to run role addresses — support@, billing@, sales@ — because each one is free. Verified September 2026.

Flat-fee or per-user email — which is cheaper for a small team?

Past four or five mailboxes, flat fee wins: MXroute covers unlimited mailboxes for $59/yr, less than a single Google Workspace seat ($84/yr). Below that, Fastmail Standard at $5/user/mo buys noticeably better apps for a few dollars more. Judge on the renewal price — Fastmail, MXroute and Migadu publish no intro discounts, so the sticker is what you pay next year too.

Why pay for business email instead of using free Gmail?

Free Gmail uses @gmail.com, which looks unprofessional and gives you no control. Business email lives on your own domain (you@yourcompany.com), survives if you leave any single provider, and gives you proper SPF/DKIM/DMARC controls so your messages actually deliver.

Google Workspace vs Microsoft 365 — which should I choose?

Google Workspace wins on collaboration, search, and ease of use. Microsoft 365 wins on Excel/Word feature depth and integration with Windows-heavy teams. Both start at $7/user/mo on annual terms (Business Starter and Business Basic, verified September 2026; Microsoft's 'without Teams' variant is $5.40). Pick based on the productivity suite your team actually uses, not the email side.

Are there cheaper alternatives to Google Workspace and Microsoft 365?

Yes. Fastmail Standard ($5/user/mo billed annually — its cheapest tier with custom domains), Migadu Micro ($19/yr flat, unlimited domains), MXroute Small ($59/yr flat, unlimited mailboxes), and Zoho Mail (free for 5 users webmail-only, or Mail Lite at $1/user/mo) are all serious options if you don't need the full productivity suite — just reliable email on your domain. Faivelo ($5/mo billed yearly, unlimited mailboxes) is the closest thing here to a suite replacement, adding calendar, contacts, files and built-in transactional and campaign sending from $10/mo — but it is much newer than the rest and publishes no uptime SLA. All verified September 2026.

Why is email deliverability so hard?

Receivers (Gmail, Outlook) authenticate every message with SPF, DKIM, and DMARC. Misconfigured DNS, sending from new IPs, or piggybacking on shared hosting mail servers gets you flagged as spam. Dedicated email hosts handle authentication and reputation for you.

Can I keep my domain and switch email providers later?

Yes — that's the whole point of owning the domain. Switching is a DNS change (MX records) and an IMAP migration to move existing mail. Most providers offer free migration assistance. The hardest part is updating SPF, DKIM, and DMARC for the new sender.

Should I bundle email with my web hosting?

Usually no. Shared-hosting email tends to have poor deliverability, limited storage, and breaks when you move hosts. Pay $1–$7 per mailbox per month — or $19–$60 a year flat at Migadu, MXroute or Faivelo — for a real email host and keep the two services separate. It's a much cleaner setup long term.
