Best Email Hosting for Custom Domains
Bundled email from a shared host is convenient but rarely the best long-term choice. For a domain you actually care about, independent email hosting pays back in deliverability and predictable billing.

Visit FastmailWhat good email hosting actually requires
Deliverability is mostly about correct DNS — SPF, DKIM, and DMARC records, a stable sending IP reputation, and a provider that publishes their policies.
Anything sold as 'unlimited email' should be read carefully. Real providers publish their per-mailbox storage, sending limits, and retention policy.
The four records, and the order to publish them in
MX first, and only once the mailboxes exist at the new provider. Point the MX records at the host while the old mailboxes are still live and mail splits between two servers for as long as the world takes to see the change — lower the TTL to 300 seconds a day before you cut over, and raise it again afterwards.
SPF second: one record, one line, listing every service allowed to send as your domain. Two SPF records is a failure, not a belt and braces — receivers treat it as permerror and your mail is less trusted than if you had published nothing. If a newsletter tool or a CRM sends as you, it belongs in the same record.
DKIM third, from the key the provider generates for you. It survives forwarding, which SPF does not, so it is the record that decides whether mail a recipient forwards to a colleague still authenticates.
DMARC last, and start it at p=none with a reporting address. The reports tell you what is sending as your domain before you ask receivers to reject anything; move to p=quarantine and then p=reject once the only mail failing is mail you do not recognise. Publishing p=reject on day one is how a company silently blocks its own invoices.
What the limits actually mean on each model
A flat-fee host charges per account, not per mailbox, and recovers the cost somewhere else — usually pooled storage and an outbound send cap. Migadu's entry plan is the clearest example: unlimited domains and addresses against 5 GB shared across all of them and a hard cap of 20 outbound messages a day. That is a superb deal for a domain that receives more than it sends, and the wrong product for a team that mails customers.
MXroute sells the same shape with a looser cap and more storage, which is why it is our pick here. A per-user host like Fastmail inverts the trade: you pay for each person and get per-mailbox storage, proper apps and no send cap worth worrying about — but note that custom domains start on the Standard tier, not the cheaper Basic one.
Read the retention policy too. A provider that does not publish how long deleted mail is recoverable, or what happens to your mailboxes if you stop paying, has told you something about how it will behave when you need it.
Best fit for
- +Owners running email on their own domain
- +Teams that don't need a full Microsoft 365 or Google Workspace suite
- +Anyone burned by inbox limits on bundled hosting email
Consider another option if
- −Your team relies on Microsoft 365 or Google Workspace apps and shared drives
- −You need built-in calendaring and document collaboration
- −You want email management exposed in a web hosting control panel
